Terms of Service

1. Who we are
Pivot ("Pivot", "we", "us") provides a software platform for sports clubs that combines squad management, session scheduling, athlete health diaries, coaching content distribution, video analysis integrations and team communication ("the Service"). The Service is available via our web application at pivot-app.co.uk and as an installable Progressive Web App.
2. Accepting these terms
By creating an account or using the Service, you agree to these Terms and to our Privacy Policy and Cookie Policy. If you are using Pivot on behalf of a club or other organisation, you confirm you have authority to bind that organisation to these Terms.
3. Account types and eligibility
- Club and coach accounts — created by club staff to manage squads, sessions, content and player data for which consent has been given.
- Player accounts — free of charge, always. Players own the data they log.
- Parent / guardian accounts— linked to a player under 18 via a club invite code, subject to coach approval and the player's consent settings.
Users under 18 may only use the Service with parent or guardian co-consent as part of the club sign-up flow. You are responsible for keeping your login credentials secure and for all activity under your account.
4. Subscriptions, trials and payment
- The Starter plan is free. Club and Elite plans are billed monthly or annually per club at the prices shown on our pricing page.
- All paid plans include a 30-day free trial. No payment details are required to start a trial.
- Annual billing includes two months free. Subscriptions renew automatically until cancelled; you can cancel at any time and retain access until the end of the paid period.
- Prices may change with at least 30 days' notice before your next billing date.
5. Your content and data
Players retain ownership of the health, wellness and training data they log. Clubs and coaches retain ownership of the coaching content (programmes, playbooks, session plans, physio protocols) they upload. By using the Service you grant us the limited licence needed to host, process and display that content to the people your consent settings allow. How we handle personal data is set out in our Privacy Policy.
6. Coaching content and intellectual property protection
Coaching content is distributed read-only within the platform. You must not attempt to export, copy, scrape, screenshot-share or otherwise redistribute another user's coaching content outside Pivot. A club may revoke a player's access to its content at any time, including when the player leaves the club.
7. Acceptable use
You must not use the Service to:
- harass, bully or abuse any other user, including in messages or the club feed;
- upload unlawful, discriminatory or otherwise inappropriate content;
- access data belonging to a player who has not granted you consent;
- attempt to circumvent security, consent controls or IP-protection measures;
- reverse-engineer, resell or provide the Service to third parties without our written agreement.
Clubs are responsible for ensuring their staff use the Service in line with their own safeguarding policies and applicable governing-body regulations.
8. Health data, injuries and medical disclaimers
Pivot provides tools for logging and surfacing wellness, injury and head-impact-assessment (HIA) information. Pivot is not a medical device and does not provide medical advice. Alerts and dashboards support — but never replace — the judgement of qualified medical professionals and the concussion / return-to-play protocols of the relevant governing body. Clubs remain responsible for their duty of care to players.
9. Third-party services
The Service can embed or link to third-party services such as Veo and Hudl for video. Those services are governed by their own terms, and we are not responsible for their content or availability.
10. Availability and changes to the Service
We aim for high availability but do not guarantee the Service will be uninterrupted or error-free. We may add, change or remove features, and will give reasonable notice of changes that materially reduce core functionality on paid plans.
11. Termination
You may close your account at any time. We may suspend or terminate accounts that breach these Terms, with notice where reasonably practicable. On termination, players may request an export of the personal data they logged, as described in the Privacy Policy.
12. Liability
Nothing in these Terms excludes liability that cannot be excluded by law. Otherwise, to the maximum extent permitted, our total liability arising out of the Service in any 12-month period is limited to the amounts paid by the relevant club for the Service in that period, and we are not liable for indirect or consequential losses.
13. Governing law
These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
